MAC/MLA Annual Business Meeting Minutes Minutes MAC/MLA Chair, Jonathan Lord, called the meeting to order at 12:30 p.m. Executive Board Members present: Jonathan Lord, Chair; Janice Kelly, Chair-Elect; Steven Squires, Past-Chair; Rebecca Johnston, Secretary; Ginny DuPont, Chapter Council Representative; Paula Raimondo, Chapter Council Alternate. Jonathan Lord distributed minutes, committee and task force reports, and 2001/2002 goals in a business meeting information packet. A motion was made by Rebecca Johnston and seconded by Janice Kelly to approve the minutes from the October 20, 2000 Annual Business Meeting in Roanoke, VA. There were no changes. Chair Report: The MAC Chair Report was distributed in the information packet. A few key points covered: 1) the appointment of Diane McKenzie as Chapter Archivist, as part of the Publications Committee; 2) the appointment of an Annual Meeting Task Force, chaired by Pat Hammond, to follow up on recommendations from the Financial Planning Task Force; 3) the commission of a needs assessment survey carried out by Steve Squires; and 4) the establishment of a cash award for the Marguerite Abel Award. 2001 Annual Meeting: The final registration totaled 154 full meeting registrants, 14 one-day registrants; 65 CE participants, 2 CE participants only; and 15 exhibitors. Of those attending, 52 were from Maryland, 39 from North Carolina, 36 from Virginia, 13 from Washington, DC, 7 from West Virginia, 5 from Delaware, and one each from Tennessee and Ohio. Membership: MAC has a total of 274 members. Of these, 37 are new members. Membership renewal reminders were published in MAC Messages stressing the fact that membership dues run by calendar year (January to December). Forms were mailed in October. Dues are to be paid by January 2002. Treasurer's Report: Jonathan Lord reported that the Treasurer, Ann Sasser, had deposited funds in two certificates of deposit in various terms of maturity in order to receive the best rate of interest and to make the funds readily available. The July 1, 2000 - June 30, 2001 financial report shows a balance of $35,580.34. The detailed report was distributed in the business meeting information packet. Elections: The Nominating Committee sent 263 ballots and received 136 including one invalid vote. The new officers are: Russet Hambrick, Chair-Elect; Patricia Vaughn, Secretary; and Patricia Hinegardner as the Nominee to the MLA Nominating Committee. Archives: Diane McKenzie reported that an archival position was created as part of the Publications Committee. She is the chair; and John Jones was asked to be a member of this subcommittee. Extensive changes were proposed to the MAC Policy and Procedure Manual to reflect any changes in archive structure. The Archives plans to play a key part in the MAC 50th anniversary in 2002. MLA Chapter Council: The report was distributed in the information packet. Honors and Awards: Ann Duesing reported that with the $2000 gift from Marge Abel, MAC would be able to give a cash award to the recipients of the Marguerite Abel Award. In addition to this, the Board approved to match the fund with another $2000. Also, MAC members were encouraged to contribute to this award. Ann said that in the past two years she did not receive enough nominees for awards and asked for more participation in the future. Publications: The final report will be submitted later on the MAC Website. Jonathan announced that Adam Glazer, Webmaster, and Janice Mason, MAC Messages editor, two-year term has expired. However, they agreed to serve another two years. New Business: Steve Squires conducted a needs assessment on MAC membership. Stella Seal reviewed the survey results. The full report will be published at the MAC Website. Local Arrangements: Jonathan Lord thanked the 2001 LAC Committee and praised on an outstanding job. He announced that the 2002 meeting would be held at the Wyndham City Center Hotel in Washington, DC, October 17-20. The 2003 meeting will be a joint meeting among the Philadelphia, Pittsburgh, New York and New Jersey chapters to be held in Philadelphia.
